Medical & Medication Policy

How ADL manages medical disclosures, medication, and emergency treatment while travelling.

Statement of Intent

ADL is committed to supporting the physical health, wellbeing, and safety of all young athletes participating in our international scholarship, showcase, trial, and development programmes. This policy sets out clear procedures for managing pre-existing medical conditions, handling and administering medications during travel, responding to injuries, and securing emergency medical treatment.

Key Responsibilities

  • Parents/carers provide accurate, up-to-date medical disclosures, supply sufficient unexpired medication in original packaging, and sign medical consent authorisations prior to departure.
  • The Designated Medical/First Aid Lead stores, tracks, and logs all participant medications on-site, administers prescribed treatments, and manages medical incidents during tours.
  • Participants follow staff instructions regarding health and safety, disclose symptoms or injuries immediately, and never share medications with peers.

1. Medical Disclosures

Parents/carers must disclose all known medical conditions (e.g. asthma, severe allergies/anaphylaxis, diabetes, epilepsy, mental health conditions) via the Sign-Up, Consent & Participation Pack. For complex or chronic conditions, ADL establishes a tailored Individual Health Care Plan prior to travel.

2. Storage & Administration of Medication

  • All medication brought on international tours must be in its original pharmacy container, clearly showing the participant's name, dosage instructions, and expiration date.
  • Prescription medications are held and administered by ADL's designated First Aider or Tour Leader - except emergency relief medication (e.g. asthma inhalers, EpiPens), which stays on the athlete's person at all times.
  • Over-the-counter medication is only administered with prior written consent from a parent/carer.
  • Controlled drugs must be declared to ADL well before travel to ensure customs and border compliance.

3. Emergency Medical Authorisation

In a medical emergency, ADL staff immediately dial local emergency services and attempt to contact parents/carers. Where emergency procedures, anaesthetics, or blood transfusions are required and parents/carers cannot be reached, signed consent in the Sign-Up Pack authorises senior ADL staff to act In Loco Parentis based on professional medical advice.

4. International Medical Insurance

ADL ensures all travelling groups are covered by comprehensive international travel and sports medical insurance, including emergency treatment, hospitalisation, and medical repatriation.

Incident & Medication Logging

Every administration of medication or first-aid intervention is recorded in the official ADL Medical Log within 2 hours, documenting the date, time, and dosage administered, the participant and administering staff member, and any observed side effects or recovery notes.
